Privacy Policy

Tempo Touch Football cares about protecting the personal data of players and their families. This policy explains what information we use, for what purpose, and how you can exercise your rights.

1. Data controller

Tempo Touch Football activities are organised by the non-profit association (ASBL) registered under number 1022.205.497, currently listed in the Crossroads Bank for Enterprises under the name PMPK Football Academy, which is in the process of being changed.

Registered office: avenue des Pléiades 60, box 14, 1200 Woluwe-Saint-Lambert, Belgium.
Contact: tempotouch.football@gmail.com.

The training venue is separate from the association’s registered office.

2. Information collected

When you fill in our form or exchange emails with us, we receive in particular:

  • the first name of the parent or legal guardian;
  • the player’s first name and age;
  • their current club;
  • the programme you are interested in;
  • your email address and phone number;
  • any information you choose to share with us.

Our exchanges may also cover availability, bookings, payments and requests to reschedule.

Required fields are marked in the form. You can also contact us directly by email.

3. How we use your data

We use this information to answer your questions, get back to you, prepare the player’s coaching and organise the sessions.

The parent’s data needed for their request and booking is processed to take pre-contractual steps and to perform the contract. The limited information about the player serves our legitimate interest in organising suitable coaching, while respecting the player’s rights and privacy.

Some information may be kept to comply with our legal obligations, in particular accounting obligations, or to establish and defend our rights in the event of a dispute.

Publishing photographs or videos requires a separate authorisation. Submitting the form does not authorise us to publish your child’s image and does not sign you up to a newsletter.

4. Access to information

Form submissions arrive in the Tempo Touch Football mailbox. Within the association, only the coaches concerned may access the information needed to contact families and organise the coaching.

The technical providers of the website and the email service may also process data in order to provide their services.

The website and its form are hosted by Webflow. Email exchanges go through Gmail (Google). We do not use any other tool to manage this information. As these providers may process data outside the European Economic Area, in particular in the United States, these transfers rely on the safeguards provided by the GDPR, such as the EU–U.S. Data Privacy Framework or the European Commission’s standard contractual clauses.

5. Retention period

We keep information for a period appropriate to its use:

  • Enquiries without registration: one year after the last exchange.
  • Booked programmes: while they are being followed and as long as sessions remain to be held, for the information needed to organise them.
  • Accounting and contractual documents: for the retention periods required by Belgian accounting and tax legislation, then for as long as needed to handle any disputes.
  • Photos, videos and authorisations: two years at most, or until the authorisation is withdrawn if that happens earlier.

The fact that programmes have no expiry date does not justify keeping all messages or images indefinitely.

6. Information about children

Communication about underage players takes place with their parents or legal guardians.

Please limit the information you send us to what is useful for your request and for organising the sessions.

In case of illness or injury, no medical certificate is required to request a rescheduling. You can simply let us know that the player is unavailable, without sending a diagnosis or any medical records.

7. Photographs and videos

Photographs and videos may be taken during activities. The authorisations needed to take and publish them are collected separately from registration.

The authorisation specifies the uses, the publication channels and the duration concerned. The player’s rights and wishes are also taken into account according to their age and maturity.

You can refuse the publication of images without any consequence for participation in the sessions.

You can withdraw your consent or ask for a publication under our control to be removed by writing to tempotouch.football@gmail.com. Withdrawal does not affect the lawfulness of uses made earlier on the basis of your authorisation.

8. Audience measurement and cookies

Tempo Touch Football uses Google Search Console to monitor the website’s presence in search results.

Google Analytics is not currently used, according to the configuration declared when this policy was written. Should it be installed, this information and the necessary consent settings will be updated.

Cookies and trackers that are not strictly necessary, including some audience measurement tools, require prior consent. Using them for statistical purposes does not, on its own, exempt them from this obligation in Belgium.

9. Your rights

Under the conditions laid down by the GDPR, you may request:

  • access to your data;
  • its rectification;
  • its erasure;
  • the restriction of its use;
  • its portability;
  • objection to certain processing.

Where processing is based on your consent, you can withdraw it at any time.

To exercise your rights, write to tempotouch.football@gmail.com. A proportionate check of your identity or of your status as legal guardian may be necessary.

We normally reply within one month. If a legal extension is needed, we will inform you within that period.

You can also lodge a complaint with the Belgian Data Protection Authority.

10. Updates to this policy

This policy may change when our practices or the services we use change. The updated version is published on this page.
